SUMMARY STATEMENT:

Under the direction of the Director of Donor Relations, the Donor Relations Associate works to support all administrative tasks related to the design and execution of strategic donor relations for the Museum. This support includes managing the RSVP process for donor events in a timely manner and proving excellent customer service to enhance the guest experience with event planning and onsite assistance. Assistance to include mailings and event preparation materials, name tags and list development. The Associate also supports the stewardship of museum donors including the coordination and fulfillment of acknowledgment letters, donor recognition and gift items. The Associate partners with Data Management Services to ensure all prospect/attendee information for events and recognition projects are recorded in the Tessitura database.


RESPONSIBILITIES:

  • Assist with the daily coordination of administrative tasks including scheduling meetings (up to 8 per day), overseeing four staff calendars, and responding to general inquiries from Advancement staff (3-5 requests per day).
  • Oversee the collection and organization of receipts and invoices for the reconciliation of monthly expenses for events and stewardship (up to 50 charges per month).
  • Assistant with the coordination of RSVPs for 50-60 annual special events, serving from 12-500 people per event, as well as related data entry (3-5 data points per prospect/attendee).
  • Assist with coordination of 5-20 vendors per events including catering, transportation arrangements, security, signage, audio visual, sound and lighting, linens, flowers, musicians, parking, and photographers.
  • Manage the timeline for all event collateral with Marketing Communications (3-6 pieces of collateral per event, up to a six-month timeline).
  • Mange the purchasing and fulfillment of stewardship gift items for the division (10-20 items per month).
  • Supports the timely production of acknowledgement letters of donations (30-50 letters per month).
  • Enter all appropriate data into donor records as appropriate (10-20 contact reports, 5-10 event attendance lists, and updated demographics as needed per month).
  • Ability to maintain a flexible schedule with night work often (and infrequent weekend work), especially in spring and fall.


WORK SCHEDULE:

This position is full-time, 40hrs/wk, Monday-Friday

Director, Donor Relations


MINIMUM QUALIFICATIONS:

  • Post HS course work, technical degree, associate's degree or business certificate.
  • 1 year of office or related experience.
  • Demonstrated customer service skills and experience handling a high volume of phone calls.
  • Experience managing multiple calendars, scheduling appointments and preparing meeting materials.
  • Demonstrated written and verbal communication skills.
  • Demonstrated organizational, time-management, and project management skills with demonstrated attention to detail.
  • Demonstrated interpersonal skills.
  • Demonstrated business experience with managing external vendors, purchasing and accounts receivable.
  • Demonstrated working knowledge of Microsoft Office Suite and complex mail merges.
  • Experience with data entry and database operations.


STARTING SALARY:

Non-Exempt (Hourly)
