SUMMARY STATEMENT:

The Executive Assistant to the Finance Division provides administrative support to the divisional leadership team to ensure the smooth running of the office. Assists with Board Committee meeting administrative support and other ad-hoc divisional projects. Executes all tasks efficiently, and discreetly in a positive, proactive manner while maintaining excellent oral and written communication and organizational skills.


RESPONSIBILITIES:

  • Administratively support the Senior Vice President of Finance and 6 Directors/ VPs on a daily basis.
  • Coordinate quarterly meetings of the Finance, Audit, and Investment Board Committees.
  • Coordinate the response to 40-50 emails per day and assigning tasks to the appropriate individual.
  • Support the writing and reporting of divisional OKRs and goals on a quarterly and annual basis.


WORK SCHEDULE:

This position is full-time, 40 hours/week, Monday-Friday.


REPORTS TO:

SVP, Finance


MINIMUM QUALIFICATIONS:

  • Post high school course work, technical degree, associate's degree, business or vocational certificate.
  • 3 or more years of administrative experience
  • Demonstrated ability to adapt to changing priorities
  • Demonstrated oral and written communication skills
  • Demonstrated professionalism and discretion
  • Demonstrated ability to self-monitor and be pro-active
  • Setting and monitoring progress toward objectives and key results
  • Ability to handle confidential material
  • Demonstrated experience using Microsoft Office Suite
  • Previous experience supporting Board members/committees


STARTING SALARY:

Non-Exempt (Hourly). $24.50-$26.50/hour
